This Privacy Policy describes how RepWolf LLC (“we,” “us,” or “our”) collects, uses, and protects personal information through the RepWolf platform accessible at repwolf.app (the “Service”). RepWolf is a sports training platform designed for youth athletes, coaches, and parents.

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you are a parent or guardian, please read the Children’s Privacy section carefully.

1. Information We Collect

1.1 Account Information

When an account is created on RepWolf, we collect the following personal information:

  • Full name
  • Email address
  • Role within the platform (athlete, coach, owner, or parent)
  • Organization membership and affiliation

1.2 Training and Activity Data

When athletes use the Service, we collect:

  • Training session logs, including drill type, duration, repetitions, and self-reported focus level
  • Session notes entered by the athlete
  • Points, streaks, and progress data
  • Badge and achievement records

1.3 Timezone and Location Preferences

We collect the user’s timezone setting to accurately calculate training days, streaks, and scheduling. We do not collect precise geolocation data, GPS coordinates, or IP-based location tracking.

1.4 Communications

Messages exchanged between coaches and athletes within the platform are stored to provide the messaging feature. Content shared by coaches (such as links to instructional videos) is also stored.

1.5 Marketing Site

On our marketing website at repwolf.app, we may collect email addresses submitted through our waitlist signup form or contact form. We plan to use Google Analytics on the marketing site to collect standard analytics data, including page views, session duration, and general device and browser information, via cookies.

2. Children’s Privacy (COPPA Compliance)

RepWolf is used by youth athletes, including children under the age of 13. We take children’s privacy seriously and comply with the Children’s Online Privacy Protection Act (COPPA).

2.1 Parental Consent Requirement

For athletes under 13 years of age, we require verifiable parental consent before collecting any personal information. The process works as follows:

  • A coach initiates an invitation for a youth athlete
  • If the athlete is under 13, the invitation is directed to the athlete’s parent or legal guardian
  • The parent or guardian must review and consent to this Privacy Policy and the collection of their child’s information before the account is created
  • The parent or guardian creates the athlete’s account on their behalf

2.2 Information Collected from Children Under 13

We collect the minimum information necessary to provide the Service:

  • First and last name
  • Training and activity data (as described in Section 1.2)
  • Timezone setting

We do not collect email addresses directly from children under 13. The parent’s or guardian’s email address is associated with the child’s account.

2.3 Parental Rights

Parents and legal guardians of children under 13 have the right to:

  • Review the personal information we have collected from their child
  • Request the deletion of their child’s personal information
  • Refuse to permit further collection or use of their child’s information
  • Revoke consent at any time

2.4 How We Protect Children’s Information

  • We do not share children’s personal information with third parties except as required to operate the Service (see Section 4)
  • We do not serve behavioral advertising to children
  • We do not condition a child’s participation on the collection of more personal information than is reasonably necessary
  • Children’s data is stored with the same security measures applied to all user data (see Section 6)

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain the RepWolf platform
  • To calculate training points, streaks, badges, and progress toward challenge goals
  • To enable communication between coaches and athletes within the platform
  • To send notifications related to platform activity (badge awards, challenge assignments, and coach-shared content)
  • To respond to inquiries submitted through our contact form
  • To send waitlist updates to users who have opted in
  • To analyze the usage of our marketing website through Google Analytics

4. How We Share Your Information

We do not sell, rent, or trade personal information to third parties. We may share information in the following limited circumstances:

4.1 Within Your Organization

Coaches and organization owners can view athlete training data, progress, and activity within their organization. Athletes can view other athletes’ activity within their organization’s team activity feed.

4.2 Service Providers

We use the following third-party service providers to operate the Service:

  • Amazon Web Services (AWS): Cloud hosting, data storage, and serverless compute
  • Google Analytics: Marketing website analytics (marketing site only, not the platform)

These providers are contractually obligated to protect your information and may only use it to provide services to us.

4.3 Legal Requirements

We may disclose personal information if required to do so by law or in response to valid legal process, such as a subpoena, court order, or government request.

5. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service. Training and activity data is retained for the duration of the associated challenge and for a reasonable period thereafter to support historical progress tracking.

If you request deletion of your account or your child’s account, we will delete the associated personal information within 30 days, except where retention is required by law.

6. Data Security

We implement appropriate technical and organizational measures to protect personal information, including:

  • Encrypted data transmission (HTTPS/TLS)
  • Secure cloud infrastructure hosted on Amazon Web Services
  • Role-based access controls ensuring users can only access data within their organization
  • Environment-variable-driven security configurations

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have certain rights regarding your personal information, including:

  • The right to access the personal information we hold about you
  • The right to request correction of inaccurate information
  • The right to request deletion of your personal information
  • The right to withdraw consent for data processing

8. Cookies and Tracking Technologies

The RepWolf platform uses essential cookies for authentication and session management. These cookies are strictly necessary to provide the Service and cannot be disabled.

Our marketing website at repwolf.app uses Google Analytics, which places cookies on your device to collect anonymized usage data. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on or by adjusting your browser’s cookie settings.

9. Third-Party Links

The Service may contain links to third-party websites or services, including YouTube videos shared by coaches. We are not responsible for the privacy practices of these third-party services. We encourage you to review the privacy policies of any third-party services you access through RepWolf.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify users through the platform or by email. The “Effective Date” at the top of this policy indicates when it was last revised.

For changes that affect the collection or use of personal information from children under 13, we will obtain new parental consent as required by COPPA.
